How We Use Your Information

We use personal information to deliver our services and support hospitality operations.

This includes processing reservations and orders, managing accounts, administering loyalty programs and gift cards where offered, facilitating payments, sending booking confirmations and supporting customer enquiries.

We may also use information to maintain customer profiles, provide reporting and analytics, improve platform functionality, detect fraud, troubleshoot technical issues and maintain security.

Where enabled, our services may use artificial intelligence to assist with customer enquiries, booking requests and operational tasks. Relevant information may be processed by AI service providers to deliver these features.

We may use business contact information to communicate about Notable One products, service updates and relevant offers, subject to applicable marketing laws.

We do not use hospitality venue customer information for unrelated purposes without an appropriate legal basis or authorisation.

04

Legal Requirements and Consent

We collect, use and disclose personal information where reasonably necessary for our business activities, to provide requested services, with appropriate consent, or as otherwise permitted or required by law.

For example, information may be required to complete a reservation, process an order, operate a business account or provide technical support.

Where consent is required, such as for certain marketing activities, collection of sensitive information or recording communications, we or the participating hospitality business will obtain the necessary consent.

Customers may withdraw marketing consent at any time using the unsubscribe instructions provided or by contacting the relevant business.

Not providing certain information may prevent us or a participating venue from completing a requested service.

Where automated systems are used to make or directly inform decisions that may significantly affect an individual's rights or interests, we will provide the information required by applicable privacy laws.

05

Relationship Between Notable One, Venues and Guests

Notable One provides technology to independent hospitality businesses, including cafés, restaurants, bars, pubs and takeaway venues.

The hospitality business manages its relationship with its customers.

Participating venues generally determine what customer information they collect and how it is used for reservations, orders, loyalty programs and customer communications, subject to applicable law.

Notable One processes relevant information to provide the services requested by the venue, in accordance with applicable agreements and legal obligations.

Each hospitality business remains responsible for its own customer-facing privacy practices, marketing permissions and appropriate use of customer information.

Notable One is separately responsible for personal information it collects and uses for its own business purposes, including website enquiries, account administration, billing, security and customer support.

Where a guest wishes to access, update or raise a concern about information held by a particular venue, they may contact that venue directly. We will provide reasonable assistance where appropriate.

06

Sharing Information and Service Providers

We may share relevant personal information with trusted service providers where necessary to operate our platform.

These may include cloud hosting providers, payment processors, POS and reservation integrations, SMS and email providers, analytics services, customer support tools and AI technology providers.

We may also share information with the hospitality venue involved in a transaction, authorised users, professional advisers or authorities where required or permitted by law.

We take reasonable steps to ensure that service providers handle personal information appropriately and use it for authorised purposes.

Notable One does not sell venue customer databases to third-party data brokers.

07

Cookies and Analytics

Our website and platform may use cookies and similar technologies to support essential functionality, maintain security, remember preferences and understand how our services are used.

Where enabled, analytics and marketing technologies may help us measure website performance and improve communications.

You can manage certain cookie settings through your browser or any cookie preference controls provided on our website.

08

Data Retention

We retain personal information only for as long as reasonably necessary to provide services, manage accounts, comply with legal obligations, resolve disputes and maintain appropriate business records.

Retention periods may vary depending on the type of information, the service provided, contractual arrangements and applicable laws.

When personal information is no longer required, we take reasonable steps to securely delete or de-identify it, unless retention is permitted or required by law.

Following termination of a hospitality business account, customer information will be handled in accordance with the applicable agreement, legal requirements and relevant data retention procedures.

09

We take reasonable technical and organisational measures designed to protect information against misuse, loss, interference, unauthorised access, modification and disclosure.

These measures may include appropriate access controls, authentication, secure communications, monitoring and restrictions on access to personal information.

Hospitality businesses are responsible for managing authorised staff access to their accounts and maintaining appropriate account security practices.

Although we take security seriously, no internet-based service can guarantee complete protection against every security risk.

Where a data breach occurs, we will assess and respond to it and make any notifications required under applicable Australian laws, including the Notifiable Data Breaches scheme where applicable.
